With the 2025-26 tax year coming to a close, employers across the UK are preparing their annual benefit reporting for HMRC. Whether you need individual P11D forms for employees or only the P11D(b) summary because benefits were taxed through payroll, ensuring accurate and timely submission is essential.

At activpayroll, we are already supporting clients with their yearend reporting and helping them meet the 6 July 2026 deadline with confidence.

Why P11D Reporting Is Important

P11D reporting is a legal requirement for employers who provide taxable benefits to their employees. These benefits must be reported to HMRC either by:

  • Taxing benefits through payroll, or
  • Submitting individual P11D forms for each employee who received a taxable benefit.

Accurate reporting ensures:

  • Employees pay the correct amount of tax
  • Employers remain compliant with HMRC guidelines
  • Businesses avoid penalties for late or incorrect submissions

Common taxable benefits include private medical insurance, company cars, accommodation, and other items subject to Class 1A National Insurance.

Common Mistakes Employers Make

Even well organised businesses can encounter challenges with P11D reporting. Frequent issues include:

  • Incorrect calculation of taxable amounts, leading to under or overpayment
  • Missing taxable benefits, often due to unclear internal processes
  • Lack of inhouse expertise, resulting in errors or late submissions

Outsourcing P11D reporting to a specialist provider helps ensure accuracy and compliance.

Consequences of Missing the P11D(b) Deadline

Failure to file a P11D(b) return — including all P11Ds or details of payrolled benefits — can result in significant penalties:

  • £100 per 50 employees for every full month the return is late
  • 5% penalty on unpaid Class 1A NIC after 30 days, rising to 10% after 6 months and 15% after 12 months, plus interest
  • Potential £300 per late P11D, with an additional £60 per day until corrected (via First-tier Tax Tribunal)

These penalties can escalate quickly, making timely submission essential.

How activpayroll Supports Your P11D Form Submissions

Where benefits have not been taxed through payroll, employers must submit individual P11D forms. activpayroll can assist by:

  • Preparing individual P11D forms for each employee
  • Preparing the P11D(b) summary, showing the total value of all benefits
  • Submitting all forms electronically to HMRC

Our experienced team ensures your benefit data is accurately captured and fully compliant with HMRC requirements.

If You Taxed Benefits Through Payroll

If you registered with HMRC before 6 April 2025 and taxed benefits through payroll during the 2025–26 tax year, you may not need to complete individual P11Ds.

If you are an existing activpayroll payroll client, we can:

  • Produce a detailed report from our payroll system showing all payrolled benefits
  • Prepare and submit the P11D(b) summary
  • Make the Class 1A NIC payment to HMRC, where we normally handle your tax payments

If you are not currently an activpayroll payroll client, we can still support you - please contact us to discuss your requirements.

Additional UK Year-End Reporting Services

Beyond P11D reporting, activpayroll can also support with:

  • PAYE Settlement Agreement (PSA) applications and submissions
  • Employment Related Securities (ERS) returns

These services help ensure your business remains fully compliant across all areas of employment tax and global mobility.
