The Payroll Officer shall perform payroll processing activities for customers’ Australian payrolls.

The Payroll Officer shall be familiar with payroll related legislation, taxation rules and Superannuation requirements and have an ability to apply this knowledge to the payroll processing activities.

The Payroll Officer shall develop their skills and knowledge to a point where they are able to process payrolls with no assistance except for minimal guidance from the Payroll Operations Manager.

The Payroll Officer shall be able to produce payroll reports and payslips with minimum assistance.

The Payroll Officer shall produce payroll related financial reporting, Gross to Net Reports and General Ledgers.


Principal Duties

  • Processing and reconciling basic weekly/fortnightly/monthly Australian payrolls
  • Responsible for accurate inputting of payroll information into reconciliations
  • Importing payroll information into payroll software
  • Maintenance of payroll records
  • Ensuring comprehensive payroll records are kept, both paper and electronic
  • Completion of checkers checklist
  • Printing, sealing and sending payslips as required
  • Preparation of daily payments files
  • Manual calculations of statutory payments & deductions
  • Processing of Australian regulatory payroll forms
  • Ensure that customers’ payroll manual is relevant, up-to-date and is used at all times
  • Compliance with company procedures
  • Accurate time recording and payslip head count, to enable invoice procedure
  • Ensure compliance with Data Protection regulations

Service Excellence

  • Responding efficiently to queries from customers, customer employees and 3rd party vendors via email and telephone
  • Acting in a diligent manner to ensure that work is performed accurately
  • Ensure that errors and issues are reported to Senior Payroll Administrators and the Payroll Operations Manager
  • Completing Corrective Action Request forms if required
  • Ensure that Senior Payroll Administrators and the Payroll Operations Manager are kept informed of any risks or problems which may prevent delivery of payrolls
  • Escalating any issues and requesting assistance and clarification as required from the Senior Payroll Administrators and the Payroll Operations Manager

Team Focus

  • Participation in team sessions
  • Submitting any relevant information that can be discussed at regular team meetings
  • Assisting members of the payroll team when required
  • Prioritisation of personal workload on a day to day basis
  • Maintaining a safe working environment and raising any health & safety concerns immediately

Commercial Awareness

  • Working with the Payroll Team to identify any process improvement areas
  • Showing initiative to adopt new ideas and processes as directed by the Payroll Operations Manager
  • Working with the Payroll Team to identify customer ad-hoc requests and opportunities for work that could generate additional revenue
  • Ensure that timesheets are completed accurately and in a timely manner
  • Understand customer scope and customer billing rates

Professional & Personal Development

  • Review development / training needs with Payroll Operations Manager regularly
  • Work with the Payroll Operations Manager to identify training requirements and to set personal performance objectives
  • A willingness to learn new tasks and be flexible within the role
  • Be willing to perform training to obtain professional payroll qualifications
  • Maintain an understanding and knowledge of Australian legislative and regulatory changes which may affect Australian payroll


  • A minimum of between two and four years’ experience processing Australian payroll
  • Competent oral and written communication skills with ability to evaluate queries and advise customers in a timely and professional manner
  • Proven numerical skills with a strong emphasis on accuracy and quality
  • Good level of IT literacy; familiarity with databases and current software packages
  • Ability to work under pressure and to strict deadlines
  • Ability to multi-task and to handle multiple tasks simultaneously
